Chapter 1 · 1:42
Getting started
Anyone can start: go to utilizebot.si and tap Mulai gratis. New accounts get 500 free credits for 14 days, and no card is needed.
1. Sign up. Type your email and tap Send me a code. UtilizeBot emails you a 6 digit code (check Spam or Promotions too). Enter it, then add your name and a password (at least 10 characters, with letters and numbers) and accept the terms. If you came from a plan on the pricing page, you go to a secure payment page next; otherwise you can continue with the free trial.
2. Get the app. On utilizebot.si, scroll to Dapatkan aplikasi: Windows (10 or 11, 64-bit), Mac (macOS 13 or newer, Apple silicon, with an Intel version too), Linux (Ubuntu or Debian) and Android (8 or newer). On iPhone and iPad, UtilizeBot runs in your browser for now. Your chats, bots and files are the same everywhere.
3. Sign in anywhere with the same email and password. Forgot it? Tap Forgot password? on the sign-in screen.
4. Turn on notifications. In the Android app, tap Enable notifications, then Allow.
What Home shows: UtilizeBot at the top, then your computer, Meetings, Family, Groups and your bots. The gear opens Settings, where Plan shows your plan and credits.
Try these
Good to know
- The free trial gives 500 credits for 14 days. One trial per email.
- The sign-up code comes by email from UtilizeBot. It expires after a few minutes; tap Resend code if it does.
- On iPhone or iPad there is no app yet: open the web app in Safari, tap Share, then Add to Home Screen.
- Signing out on one device keeps you signed in on the others. Changing your password signs out your other devices.
- Settings, Plan shows your plan, the credits you have left and when they reset.
Chapter 2 · 1:54
Welcome: give it a job, not a question
Give it a job, not a question
Most chat apps answer questions. UtilizeBot is a team that finishes work and brings the result back to your chat: a table, a document, a draft ready to send.
Write it like a job. Say three things: the result you want, the details that matter, and the format.
- Question: "What is a good accounting app?"
- Job: "Compare 3 accounting apps for my 5 person bakery. Table of monthly prices, then a one page PDF."
Find your way around
- Beranda: UtilizeBot at the top, Your computer, then your bots.
- Chats: the clock icon in a chat opens your earlier chats. Search them by any word. Tap the pen for a new chat; the one you opened last is the one Home takes you to.
- Profile: tap the arrow next to UtilizeBot. Dokumen, Links and Media keep what it made. Your computer (when your computer is switched on for your account) shows its screen while it works.
- Bots: team members with one ongoing job, like a weekday news brief. Ask UtilizeBot to set one up. A bot made by hand with the plus button needs a standing goal to run on its schedule; it is easier to ask UtilizeBot to set it up.
- Settings: fill in About you and Instructions so answers fit you. UtilizeBot uses them from your next message.
The message box: tap + to attach photos or files (up to 25 MB each, 20 MB per message). Tap the mic to speak, where your browser shows it. Above the box you get Check progress, Stop task, I've finished my step and View tasks; the row shows once your account has a bot or you have written in this chat.
Connecting email and calendar is handled by your admin for now.
Try these
Good to know
- A job has three parts: the result you want, the details that matter, and the format. Leave one out and you get a question back.
- Files UtilizeBot makes arrive in the chat as cards you can open or download, and they are kept under its profile in Documents.
- Home always opens the chat you used last. Tap the pen for a fresh chat; the old ones stay in Chats and you can search them by any word.
- The row with Check progress, Stop task, I've finished my step and View tasks shows once your account has a bot or you have written in that chat.
- The mic only shows where your browser supports speech input; inside the Android app you type instead.
- A bot made by hand needs both a schedule and a standing goal to run on its own; asking UtilizeBot to set one up fills both.
- About you and Instructions in Settings apply from your next message, in every chat and for every bot of yours.
- Email and calendar connections are set up by your admin for now; UtilizeBot does not ask you to connect them.
Chapter 3 · 1:28
Your first real task
Give UtilizeBot a job with a clear result, and say the format you want back. For example: Find 10 coffee bean suppliers in Kuala Lumpur. For each give the name, website, phone and what they sell. Send it as an Excel file.
While it works
- The line next to its face shows it is working, for example "UtilizeBot is analyzing your request...". Bigger jobs take a few minutes.
- The button row above the message box scrolls sideways. Check progress gets you a quick update, and the main job carries on.
- Stop task ends the job. While it works, the send button also turns into a Stop square.
- When it needs you (a sign-in, a quick check, a payment), a card appears in the chat: type your details on the sign-in card, or tap I'm done on the card. The I've finished my step button is for longer tasks (missions) that are waiting on you.
You can leave Go back to Home, use other apps or close the app. The work carries on, and the result is posted in the chat. On the Android app you also get a notification.
Your file The finished file arrives as a card in the chat. Tap the card to read it inside the app, or the download arrow to save it. The viewer has Download and Share buttons, plus Open in computer when your computer is on. To find a file later, tap UtilizeBot at the top of the chat, then Dokumen. Files from your chats with it are listed there, newest first. Files a bot made in its own chat are in that bot's Documents tab.
Habit: ask for the file, then let it work.
Try these
Good to know
- Say the format you want (Excel, PDF, Word, slides). A saved file is always delivered to you as a card in the chat; short answers stay in the chat itself.
- A very big job (more than about 15 minutes, or one that must keep running) comes back as a one-tap /mission line instead of running in the chat. Tap it only when you want a long background job.
- Check progress answers in a short side reply while the main job keeps going. It cannot do new work; if you ask for something new, it queues it for after the current task.
- If you ask for prices on a shop site, UtilizeBot uses your computer and may send you a card to pass the site's quick check or to sign in; that is part of doing the job, not a question.
- View tasks lists your missions; with none running it shows the mission commands.
- Download links from a chat work for 24 hours. The file itself stays in Documents, where the row opens the viewer and the arrow downloads it.
Chapter 4 · 1:32
Files and documents
Send it a file. Tap + next to the message box and pick a file. Photos, PDFs, Word, Excel, PowerPoint, CSV and text files all work. One message can carry up to 20 MB of files. You can attach several files and remove one with its cross before you send. Then say what you want done with it.
Ask for a real document. Name the format you want: a Word file, a PDF, slides or a spreadsheet. Reports and proposals usually arrive as Word plus PDF. Slide decks arrive as PowerPoint plus PDF. UtilizeBot adds a line or two on what the document says and what still needs your input.
Read it in the app. Tap any file card. Word, Excel, slides, PDFs, photos and videos open in the viewer. From there:
- Unduh saves the real file to your phone.
- Share passes it to another app on phones that support sharing; elsewhere it copies a link.
- Open in computer shows it on your computer, where you can tap Take control. If you do not have a computer yet, it tells you so. If the computer is still starting, try again in a moment.
Drafts you send yourself. Ask for an email, a WhatsApp message or a post, and it comes in its own box. Tap inside to change the words, then tap Copy. An email has its own Subject line with a separate copy button. The undo arrow brings back the original, and your edits stay on this device.
Habit: send the file, say the format you want back, and copy drafts straight from the box.
Try these
Good to know
- One message carries up to 20 MB of files and up to 10 files. Archives and code files are accepted too.
- Before a big deliverable, UtilizeBot may ask one short question when a detail changes the whole result; answer it and the document follows.
- Documents are built and checked before they are sent, so a report or deck can take a few minutes. You can keep chatting while it works.
- Open in computer needs your computer to be running. It wakes it if needed; if it is still starting, tap again in a moment.
- Edits you make inside a draft box are kept on this device only. The undo arrow restores the original text.
- Email drafts show a Subject line with its own copy button; WhatsApp and SMS drafts are plain text, ready to paste.
- In family mode, a child's account cannot send photos or files; the app asks them to type their question instead.
Chapter 5 · 1:42
Komputernya sendiri
UtilizeBot has its own computer with a real web browser, and it is yours alone: nobody else can open it. It uses it to open websites, compare prices, read pages and fill in forms for you.
Watch it live. On Home, tap Your computer. The screen is view only, so you cannot get in its way by accident. If it was asleep, it wakes up by itself. This can take a minute.
Take control. Tap Ambil kendali to use the computer yourself. Turn your phone sideways for a bigger screen. When you are finished, tap Hand back.
Give it a real job. In the chat, ask it to check or compare prices on a shop. It opens the site straight away and replies with what it found: product names, prices, ratings and direct links, plus a screenshot when it helps. While it works, tap the screen icon at the top of the chat to watch. Close it whenever you like; the work carries on.
Find it again. Links from your chats also collect under Links on its profile, newest first, with the site address on each row, so you can open that deal again later.
Some shops ask you to sign in, or want a quick check that you are a person, before they show prices. UtilizeBot asks you on a card in the chat when that happens. That is the next chapter.
The habit: let it do the clicking, and peek at its computer whenever you are curious.
Try these
Good to know
- Some shops ask you to sign in or prove you are a person first. You get a card for that in the chat (next chapter), and the sign-in stays saved in the computer's browser, so it is usually once per site.
- If the computer was asleep, it wakes up by itself when you open it or when a job needs it. This can take a minute.
- On the Your computer tab the screen is view only. Tapping the picture there opens Take control; the words under the screen say so.
- The dot on the computer row and on the chat's screen icon turns green and pulses while it is working. It refreshes about every 30 seconds, so give it a moment after you send a job.
- On a wide screen the live view can sit beside the chat, with an Expand button to make it big.
- Links collects every web link from your chats and tasks, including ones you pasted yourself. Each row shows the site address and when it was shared.
- A screenshot comes with the answer when it helps, not every time.
Chapter 6 · 1:38
Sign-ins, needs-you and payments, safely
Sign-ins happen on a secure card. When a site needs you to sign in, UtilizeBot opens the sign-in page on its computer and sends a sign-in card into the chat. Check the address line first: the lock and the bold name show the real site. If the name UtilizeBot used for the site does not match the address, the card says so. Type your details on the card and tap the blue button (Sign in, Next or Send code). They go straight to your computer, and UtilizeBot never sees them. The card then shows when it is done: "Signed in to
Stay signed in. Leave Stay signed in on my computer switched on. The site stays signed in on your computer, so it is usually once per site. What you type is not saved.
UtilizeBot needs you. For a captcha, a passkey, a tap on your phone or a payment, you get a card with a live picture of your computer. Do the step on the computer (tap Open computer, then Hand back when finished) or on your phone, then tap I'm done. Not now skips it, and UtilizeBot tells you what it could not finish.
Payments stay with you. UtilizeBot goes as far as the checkout, then asks you to enter the payment details and press Pay yourself.
The habit: passwords and codes go on the sign-in card. Card numbers go on the checkout page after you tap Open computer. Never type any of them in the chat.
Try these
Good to know
- The blue button on the card changes with the step: Sign in, Next, Send code, or Verify for a code.
- The bold part of the address line is the real site, taken from the open tab, not from what the assistant typed.
- A sign-in card expires after 10 minutes and allows 3 wrong tries per step; after that UtilizeBot sends a fresh card.
- Do it myself on the computer, at the bottom of the card, opens your computer so you can sign in there instead.
- A needs-you card also expires after 10 minutes. Then it says UtilizeBot stopped waiting and offers Continue now, which starts a short new turn.
- For a payment or a tap on your phone the step usually happens off the computer, so the card drops the words on your computer.
- UtilizeBot stops at the checkout and never presses Pay or Place order. This is its standing instruction; you can always check the order on the live screen first.
- Your computer, in the chat header and the Your computer tab, is where you can watch or take over at any time.
Chapter 7 · 1:33
Build a website or app and get the live link
Tell UtilizeBot what you want in plain words: who it is for, what it should show, and that you want a live link. It builds the site on its own computer, checks that it runs, then publishes it and sends you a link anyone can open. The first visit can take up to a minute.
Watch it work. While it builds, tap the screen icon at the top of the chat. When its computer is up you see the live screen, and you can keep chatting. If the computer is not up yet, the icon takes you to Your computer instead.
Where your links live. Settings, Published apps. Each link shows Live, Starting or Asleep, with buttons to open, copy or stop it. You can have a few live links at a time (Settings shows how many; 3 is the default). Links stay up while your computer is awake. If they fall asleep, tap Wake my apps.
Changes. Reply in the same chat, for example: "Make the header dark blue and add an About us section. Keep the same link." Publishing again under the same app name keeps the same link.
Bigger builds. For an app with several parts, like bookings, UtilizeBot sets up a team (usually called Dev Team) and shows its progress in your chat under a card. This needs bots switched on for your account. When the team's result lands in your chat, ask UtilizeBot to publish it and send you the link.
Good to know. Links are public, so never ask it to publish private customer details. Publishing is off until your admin switches it on for you, it needs your agent computer switched on, and it is not available on child profiles.
Try these
Good to know
- Links are public. Anyone who has one can open it, so never publish private data, keys or customer details.
- Publishing is off until your admin adds you under Published apps, and it needs your agent computer switched on. It is never available on a child profile.
- You get a few live links at a time (3 by default); Settings, Published apps shows the number and which ones are live.
- A new link can take up to a minute to answer the first time.
- Links stay up while your computer is awake. If one shows Asleep, tap Wake my apps in Settings.
- Stop takes a link down for everyone; the app itself stays on your computer.
- Ask for changes in the same chat and say keep the same link; publishing under the same app name keeps the address.
- Big, multi-part builds go to a team when bots are switched on for your account; its progress and result come back into your chat.
Chapter 8 · 1:44
Your AI team
UtilizeBot is the hub. Ask it for anything, and it decides how to get it done:
- Small jobs it does itself, right in the chat.
- Repeating jobs (a morning news brief, weekly post drafts, a price watch) get their own bot. It shows a card: tap the option you want, then Set up selected. Sometimes it is a one-tap card instead: Create bot or Keep it here.
- Big builds go to a Dev Team, a lead with specialists. A card in your chat shows the team is on it, and updates and the result land in that same chat. Open the team's own chat when you want to talk to it directly.
- Long jobs with many steps can run as a mission with a crew. For a long job UtilizeBot may give you a one-tap line to start it as a mission; tap it to start. Check progress gives you an update while a mission or a bot run is going. View tasks shows a short technical list of your missions.
Every bot appears on Home under Your bots, with its own chat. Open a bot and tap its name at the top to change what it does, set a Schedule (daily, weekdays, every few hours, or only when asked), run it now, or pause it. Each run uses credits.
To pass a note to a bot, tell UtilizeBot: "Tell Morning Brief to add the weather." You will see Messaged Morning Brief in your chat, and the bot answers in its own chat.
You can also make a bot by hand with the + button on Home. A bot made by hand needs a standing goal to run on its schedule; it is easier to ask UtilizeBot to set it up.
Try these
Good to know
- Bots need to be switched on for your account by your admin. When they are off, Home shows no bots and the + button is hidden.
- UtilizeBot can set up only a few new bots from a chat per day. After that it keeps the work in your chat.
- Every bot run uses credits, including each scheduled run. Pause a bot from its profile when you do not need it.
- Name the bot you mean. If the name matches none or more than one of your bots, UtilizeBot says so and sends nothing.
- A bot's own chat holds what you say to it directly and notes passed on by UtilizeBot. Work handed to a bot from your chat reports back into your chat.
- Check progress works while a mission or a bot run is going; with nothing running it has nothing to report.
- Chats with UtilizeBot are under Chats (the clock icon in the chat header). Bot chats live on each bot, from Home.
Chapter 9 · 1:35
Reminders, ring me, and teaching it about you
Reminders that ring
Ask in plain words: Remind me at 4 pm to send the invoice. A plain reminder arrives as a message in that chat. For anything you cannot miss, add ring me (make sure I don't miss it works too) and the app rings like a phone call. Answer stops the ring and reads the reminder out loud. Got it closes it. On a real reminder you also get Snooze 10 min, which rings again later. You can also say got it in the chat while it rings, ask what reminders do I have?, or say cancel the bank reminder.
- Android app: your phone rings like a real call.
- Web: keep UtilizeBot open on your screen and a ringing card slides in within about 15 seconds. If the tab is hidden, the card shows when you come back to it. For rings you cannot miss, use the Android app.
- Quiet hours (Settings, Calls) are 11 pm to 7 am to start with, and you can change them. Ringing reminders wait until quiet hours end, unless you say wake me.
- Test ring in Settings, Calls lets you try it any time. A test ring has Answer and Got it only.
- Calls to your phone number are not on for your account, so the app does the ringing.
Teach it about you
In Settings, About you, add your name, your work and your time zone. Type your time zone exactly like the grey example in the box (for example Asia/Kuala_Lumpur), or reminders use the server clock. Facts you mention in your main UtilizeBot chat are saved too. Instructions are your house rules; it follows them from your next message.
Plan shows an estimate of what your requests have used today and this month.
If family mode is on for your account, Settings also has a Family section for your children's learning space.
Try these
Good to know
- Ring me, call me and make sure I don't miss it all mean the same thing: the app rings like a phone call. Plain remind me only sends a message.
- Wake me or even if I'm asleep makes a reminder ring during quiet hours. Otherwise it waits until quiet hours end, and UtilizeBot tells you so.
- On the web, the ringing card appears while UtilizeBot is open on your screen. A hidden tab shows it when you come back. The Android app rings like a real call.
- A test ring cannot be snoozed; real reminders can be snoozed for 10 minutes, up to a few times.
- Test ring is limited to 5 per hour per person.
- Phone calls to your number are not on for your account, so the app does the ringing and UtilizeBot will not ask you for a number.
- Your time zone must be an exact zone name such as Asia/Kuala_Lumpur. A city or country name is ignored and reminders use the server clock.
- About you and Instructions are read from your next message, so there is no need to restart anything.
- Facts you mention are saved from your main UtilizeBot chat in the app, not from a team bot's chat.
- The Plan figures are estimates of usage, not a bill.
Chapter 10 · 1:36
Your smart home
Connect it once. UtilizeBot runs in the cloud, so it needs an address of your Home Assistant that opens from outside your home: Home Assistant Cloud gives you one, or use your own https address. Local addresses such as homeassistant.local or 192.168.x.x are refused. In Home Assistant, tap your name at the bottom left, open the Security tab and create a long lived access token called UtilizeBot (it is shown only once). Then in the app go to Settings, Smart home, tap Connect next to Home Assistant, paste the address and the token and tap Connect. UtilizeBot tests both before it saves anything. SmartThings works the same way with a personal access token.
Your home. Once connected, a Your home row appears on your home screen and in Settings. Every device is listed by room (rooms come from Home Assistant's areas). Tap a tile to switch a light, plug or fan, drag the brightness, step the aircon temperature or change its mode, open or close a cover, run a scene. Pull down to refresh.
Just ask. In your UtilizeBot chat, say it in plain words: turn off all the lights, aircon to 24, is the front door locked?, run the goodnight scene. UtilizeBot finds the device and tells you in one line what it changed. Your bots can do the same, including on a schedule, for example a bot that turns everything off every night at eleven.
Doors, garages, locks and alarms ask you first. Anything that opens your home or switches security off is never done on its own: unlocking a lock, opening a garage or gate, turning an alarm off, switching a camera off. UtilizeBot sends an OK to do this at home? card into the chat with the device, the action and the reason, and waits. Tap Approve and the action runs right away and the chat confirms it. Tap Deny and nothing changes. The card counts down and expires on its own after about two minutes. Locking, closing and arming happen straight away. In Your home, these devices carry a small lock badge and ask you to confirm with a second tap.
Private by design. Your home is yours alone: nobody else in your account can see or control it. The token is stored encrypted and never shown again, and UtilizeBot never sees it in the chat. You can disconnect at any time in Settings, Smart home.
Try these
Good to know
- Home Assistant must be reachable from the internet over https: Home Assistant Cloud or your own address. Local names and private addresses are refused on purpose.
- Tuya, Philips Hue, IKEA, Xiaomi and most other brands come in through Home Assistant's own integrations. Add them there first; they show up in UtilizeBot on the next refresh.
- Rooms come from Home Assistant's areas. A device without an area lands under Other.
- The Approve card is single use and only you can answer it. It expires when UtilizeBot stops waiting, about two minutes, so a late tap can never run something the chat already reported as not done.
- Locking, closing and turning an alarm on never need approval. Unlocking, opening a garage, gate or door, turning an alarm off and switching a camera off always do.
- A switch, cover or scene named gate, garage, door, lock or alarm is treated as a security device too, even if your hub does not tag it as one.
- A bot running on a schedule has no chat to ask in, so it can never unlock or open anything; it tells you to do it in the app instead.
- SmartThings personal access tokens made after December 2024 expire after 24 hours; the Home screen shows the error and you paste a new one.
- Children's profiles never get smart home: no tiles, no tools, no cards.
- The device list refreshes every 30 seconds while Your home is open; the tile you tapped updates at once from the hub's answer, and the refresh button or a pull down reloads everything.
Chapter 11 · 2:20
Family: a safe space for your child
Add a child. Home, Family (or Settings, Family), then Add a child. Type their first name, pick an age group (5 to 8, 9 to 12 or 13 to 17), keep or change the sign-in name the form suggests, and set a PIN of 4 to 12 digits. Read the parental consent, tick it, type your name and tap Create account. You can have up to 8 children.
Their learning world. On the child's page, Interests, adventures & progress is where you type what they love (up to 8 interests), tick one to four goals to nurture, pick English or Arabic and a challenge level, and save. Leave A fresh adventure when they visit on and UtilizeBot writes one new story a day when they open My world; they can ask for up to four a day in total. You can preview every story, see their scores and remove a story from the shelf.
Kids sign in. Sign out, tap Kids sign in on the sign-in screen, and your child types their sign-in name and PIN. They get a simple home of their own: Homework help, Reading time, Story time, Ask me anything, Explore my world and Keep chatting. A child never sees your chats, bots, files, computer, connectors or smart home, and cannot reach them.
What they get. A warm, patient learning buddy that asks what they think before it explains, keeps replies short, and follows the family values in every reply, story, game and worksheet: always Muslim-friendly, no romance, no non-Islamic holidays, nothing scary, halal food, modest characters. If they ask about a grown-up topic, the buddy says kindly that it is a question for their parents and offers something fun instead.
Your controls. On the child's page: Pause or resume; a daily time (15 minutes to 4 hours) and quiet hours; switches for homework help, reading practice, stories, photos and worksheets, learning games and the drawing studio; You can read their chats (on by default under 13, off for teenagers; the child sees a note when it is on); Activity (minutes, sessions and subjects for the week, never their words); Safety alerts (the kind of concern and when, never their words); Learning routines (a friendly nudge at a set time, like reading practice at 7:30 pm); Reset PIN and Delete.
The habit: glance at their activity now and then, and talk with them about what they are learning.
Try these
Good to know
- A PIN is 4 to 12 digits and cannot be repeated or counting numbers, so 1111 and 1234 are refused. The sign-in name is 3 to 20 small letters or numbers, and it must be free across the whole app.
- New profiles start with 60 minutes a day and quiet hours from 9 pm to 7 am. During quiet hours, or when the day's time is used up, the child sees a friendly rest screen and nothing else runs.
- Quiet hours and the daily count follow the time zone in your About you settings, so set that first.
- A child's photos and files are never read or kept, and personal details a child types are removed from the stored chat line.
- A worrying message gets a caring reply with help lines, and you get a safety alert: the category and the time, never their words. A short notice also lands in your own UtilizeBot chat, and an email when mail is set up.
- Stories are made around the saved interests, with your child's first name as the hero. A story must be finished before its Story quest; Number stars and Word detective are open straight away. A star for finishing a story, for each game with every answer right, and for saving a drawing.
- A new story is one automatic adventure a day when they visit, and up to four a day in total. If a story does not pass the safety review it is dropped and the shelf says it needs another try.
- Read aloud uses your device's own voice. Story language can be English or Arabic.
- An interest that goes against the family values is refused when you save it, and no setting turns the values off.
- Resetting the PIN signs the child out everywhere. Deleting a child erases their chats, activity, alerts, routines and stories for good.
- Up to 6 routines per child; a routine time inside quiet hours is refused.
- The platform admin never sees a child's chats. You see them only while You can read their chats is on.
Chapter 12 · 1:45
Emails it sends for you
Ask, and you get a card, not a sent email. Tell UtilizeBot who the email is for, what to say, and which mailbox to send from (the site and your address there). It writes the email and puts it on a card in the chat with From, To, Cc, Subject and the message. The card reads Siap ditinjau. Nothing is sent yet.
Edit it on the card. Change any field right there. Edits save to your account on their own (the card says Saved), so you can come back later or from another device. Show more opens a taller box for a longer message. If you edited the same card on two devices, the card asks you to Load latest draft first.
Send email approves that exact version. Tap Send email and the card changes to Waiting for your team. Your team then sends it from your own mailbox on your computer, with the exact text you approved. Discard closes the draft instead. From, To, Subject and the message must all be filled in before Send email works; Cc is optional.
The first time, you sign in on a card. If the mailbox is not signed in on your computer, you get the secure sign-in card from chapter 6. Check the address line, type your details on the card and tap Masuk. They go straight to your computer; UtilizeBot never sees them. The mailbox stays signed in on your computer, so this is usually once.
Sending, then Sent. The card shows Sending, then Sent with the note Confirmed in your mailbox. Sent means your mailbox confirmed it went out, not that the person has received or read it. If the email was definitely not sent, the card says Not sent with the reason, and you can fix it and send again. If the result could not be confirmed, the card says Check sent mail: look in your Sent folder before doing anything else, because UtilizeBot will not send it again on its own.
Want proof? The Your computer tab shows the mailbox exactly as UtilizeBot left it, and your Sent folder has the email.
The habits: passwords only ever go on the sign-in card, and an email leaves only after you tap Send email.
Try these
Good to know
- Tell UtilizeBot which mailbox to use and your address there. It never invents a From or To address; an unknown one is left blank on the card for you to fill in.
- Send email approves exactly the version on the card at that moment. Edit first, then tap Send email.
- One email sends at a time. While one is Waiting for your team or Sending, other cards stay editable, and Send email on them answers 'Another email is being sent' until the first result is in; tap it again then.
- If sending has not started within ten minutes of tapping Send email, the card returns to Not sent and you can try again.
- Sent means your mailbox confirmed submission. It does not mean the person received or opened the email.
- Check sent mail means the result is unknown. Look in your Sent folder first; UtilizeBot will not resend on its own, and there is no retry button on that card.
- The sign-in card appears only when the mailbox is signed out on your computer. It expires after ten minutes, so sign in while it is fresh.
- A tap on Send email that loses its connection is safe: a second tap shows the same result and never sends twice.
- Deleting the chat removes its email cards too.
- Email cards are not available on a child's profile.
- When you only want text to send yourself, ask for a draft in the chat: it comes in a box with a Copy button instead of a card.
- Connect Gmail and Calendar (or Outlook and Calendar) in Settings to send straight from that mailbox. It can read your calendar and add events, and never sends invitations by itself.
- With LinkedIn connected, posts arrive on a Post to LinkedIn card. You can edit the text; nothing is posted until you tap Post.
Chapter 13 · 2:40
Meetings: minutes and actions from any meeting
Find it on Home. Tap Rapat on Home. Record a meeting in the app, or upload a recording you already have. A few minutes after it ends you get a transcript with speakers, the minutes, and a list of actions.
Record a meeting. Tap Record a meeting, add a title if you like, and tap Start recording. The first time, a short note appears: tell everyone in the meeting that you are recording and ask if they are OK with it, then tap I understand. While it records you see the time and the sound level, and it saves as you go. Keep the app open and the screen on. Put your phone face up near the people talking. Pause stops for a moment; Stop, then Stop and save, ends it.
Upload a recording. Tap Upload a recording and choose an audio file such as m4a or mp3. Check the title and when the meeting was, then tap Upload and write minutes. Keep the screen open until the upload finishes.
It gets to work. The meeting page shows the steps: Uploaded, Transcribed, Writing minutes, then Ready. You can leave the screen. You get Your meeting minutes are ready in the app, and a card in your chat with the first actions and Open minutes.
Actions come first. Each action shows who owns it, when it is due, and the exact words from the meeting with the time they were said. Tap the time to hear that moment. Tap the action's words to change the text, the owner or the due date. Add an action adds one the meeting missed. Actions UtilizeBot could not find in the transcript wait under Needs checking: tap Keep or Remove.
Minutes. The Minutes tab has a short summary, the decisions, the topics, and the risks and open questions. Every item links to its moment. Copy minutes copies them as plain text. The Transcript tab has every line with its speaker and time; search it, tap a speaker to give them a name, or tap This is me.
Follow through. On any open action:
- Remind me sets a reminder (on the due date, tomorrow at 9:00, in 1 hour, or a time you pick). Turn on Ring like a call for one you cannot miss.
- Assign to a bot gives the action to one of your bots, with its quote and the meeting summary. Anything the bot wants to send waits for your OK.
- Draft follow-up email writes the email in your chat as an email card. Nothing is sent until you tap Send email on the card.
You can turn on a morning summary of actions that are due or overdue in Meetings settings (the gear on the Meetings screen).
Ask in chat. Ask UtilizeBot about your meetings in plain words, such as What did we decide about the delivery van? It answers from your meetings, with the meeting, the date and a link to the exact moment.
Only you mark an action done. Tap the circle next to an action to mark it done, with Undo if you tapped by mistake. UtilizeBot never marks an action done or drops it by itself, even when you ask in chat: it gives you a link and you tap.
Private to you. Your meetings are saved privately to your account. Only you can open them. To delete one, open it, tap the menu at the top and choose Delete meeting. Its recording, transcript, minutes and actions are removed, and reminders for its actions are cancelled.
Try these
Good to know
- Tell everyone in the meeting that you are recording, and ask if they are OK with it. In some places this is required by law.
- It records only while the app is open and the screen is on. For long meetings, keep the screen on and plug your phone in.
- On iPhone, record the meeting with Voice Memos, then upload it in Meetings.
- Meetings work best in English and Malay.
- A recording can be up to 3 hours long and 500 MB.
- Check the actions under Needs checking: UtilizeBot could not find them in the transcript, so keep or remove each one.
- UtilizeBot writes the minutes and actions from the transcript. Check them before you act on them.
- Only your tap marks an action done or dropped. UtilizeBot never does it by itself.
- Deleting a meeting removes its recording, transcript, minutes and actions, and cancels its reminders. Delete all meetings is in Meetings settings.
- If the app closes during a recording, the saved part is safe: next time you open the app you can save it, continue, or delete it.
- Meetings are not available on a child's profile.
- Pick a template before you record (Auto picks one for you), or rewrite finished minutes with another template from the meeting's menu.
- Tap a speaker to name them. Save their voice, with their agreement, and UtilizeBot names them in your next meetings.

Groups: UtilizeBot in your team chat
A group is one chat for several people, with UtilizeBot in the room. Use it for your team, a client project, a study group or family plans.
Make a group. Open Groups and tap New group. Give it a name, pick what it is for and a colour, and choose the monthly credits UtilizeBot may use there. Those credits come from your plan: members never use their own. Creating groups comes with paid plans.
Invite people. In Group info, tap Invite people. Make a link or QR code (choose when it expires and how many people can use it), or invite someone by their username. People who open the link ask to join, and you let them in.
Ask UtilizeBot. Type @UtilizeBot and your question. It answers everyone in the group. Without the tag it stays quiet, unless you reply to one of its messages: a reply to UtilizeBot counts as tagging it.
Reply and react. Swipe a message to reply to it. Press and hold (or right click on a computer) for reactions, Copy, Edit and Remove.
Group bots and the group computer. In Group info, Add a bot for one job (when asked, or every hour, day or week); it uses the group credits and sees only this group. Adult groups also share one Group computer with its own browser and files: everyone can watch, one person controls it at a time.
Privacy. Everyone in the group sees the group chat. Your personal chats stay private.
Try these
Good to know
- Group credits come from the owner's plan. The owner sets the monthly amount in Group info.
- Catch me up gives you a private summary of what you missed. Only you see it.
- The owner can turn on Only admins can add bots, close the group, or give it to another member.
- A group with a child in it is kid-safe: bots pause and there is no group computer.
- Invites by username always say Invite sent, so nobody learns who has an account.
Chapter 15 · 1:45
Plans and credits
UtilizeBot counts its work in credits. Every message and task uses some: a quick reply uses a few, work on the computer uses more, and failed runs are free.
Free trial. New accounts get 500 credits for 14 days, no card needed.
See your credits. Settings, Plan shows your plan, the credits you have left, this month's plan credits and the day they reset. Credits used lists what each message and task used.
Plans (monthly, or yearly for about 17% less):
- Starter: RM 49 a month, 600 credits, 3 bots.
- Pro: RM 99 a month, 1,500 credits, 15 bots, Meetings, Family (up to 4 children) and publishing apps.
- Enterprise: custom; tap Talk to us.
Credit packs: 300 credits for RM 30, 1,100 for RM 100, 2,300 for RM 200. Bought credits are used after your plan credits and stay valid for 12 months.
You pay on a secure payment page. Change plan or manage billing from Settings, Plan. Prices are the ones shown in the app on the day you buy.
Try these
Good to know
- When you run out, the plan credits come back on the reset date, or you can buy a pack at once. Nothing you made is lost.
- In the Google Play app, plans and packs are bought on the web, not in the app.
- Checkout canceled? Nothing was charged.
- Group credits come from the group owner's plan.
Chapter 16 · 1:16
Connect your own computer
UtilizeBot already has its own computer in the cloud (chapter 5). This chapter is about your PC: connect it when a job needs your own apps, files or logins.
1. Install UtilizeBot Companion. On the computer you want to connect, open Settings, My devices in UtilizeBot and download the Companion for Windows, Mac or Linux (Ubuntu or Debian). Install and open it. These preview installers are not publisher signed yet, so Windows or macOS may show a security warning before it opens.
2. Pair it. Tap Create pairing code in My devices and type the code into the Companion. You pair once.
3. Choose what your team can do. In the Companion, allow screen viewing, or viewing and control. You can pause access from your phone or on the PC.
Use it. Open the computer in My devices to see its screen. Pinch or use the buttons to zoom, switch screens on a computer with several, and tap to click when control is on. Or just ask in chat: your team works on your computer while you watch.
The computer must stay awake with the Companion open.
Try these
Good to know
- Your own computer is separate from UtilizeBot's computer. Nothing is shared between them unless you ask.
- Pause access from My devices or from the Companion at any time; Disconnect removes the computer.
- Agent input pauses while you control the computer yourself.
- Screenshots appear only while you request them.
Chapter 17 · 1:24
Watch: it tells you what matters
Watch reads your connected Gmail or Outlook (mail and calendar) for you. When an important email is still unanswered a few hours later, it posts one nudge in your chat: who wrote, when, what it is about, and an email card with a reply ready. Nothing is sent until you tap Kirim on that card.
Switch it on. Settings, Watch: turn on Watch my email and connect Gmail or Outlook. Work accounts may need your IT team to approve UtilizeBot once.
On a nudge: Review the reply, Open in Gmail or Outlook, Remind me later (in 3 hours, or tomorrow morning), Not important (then mute that sender or their whole domain), or Mark as done. If you reply elsewhere, the nudge says You replied.
VIP senders always count as important. Remind me about unanswered email after sets the delay; Check every sets how often it looks.
Ring me for: meetings in your connected calendars ring like a call, 10 minutes before by default (you can change it), and you can choose to ring for VIPs, urgent email or a client waiting.
Quiet hours hold nudges and rings. Turn on the morning digest and it lists what waits for you and today's meetings. LinkedIn messages and comments are caught through LinkedIn's alert emails.
Try these
Good to know
- Watch skips newsletters, promotions, no-reply senders and anything older than 3 days.
- Three Remind me later taps for the same sender in a month teach it that they can usually wait. Remove the rule in Settings, Watch.
- Children never get Watch.
- Some personal Gmail addresses cannot be connected yet.
Chapter 18 · 1:27
Talk to it
Voice messages. Tap the microphone next to the message box, say what you need, then tap Kirim. Up to 5 minutes. Your message shows what UtilizeBot heard (tap play to listen again), and it answers like any typed message.
Your language. Set your language in Settings, Personalization, App language. Then speak it (English, Malay, Arabic and others): it writes down what you said in that language and replies in the language you speak.
Microphone blocked? The app tells you how to allow it on your phone or computer. Or tap Send an audio file instead and pick a recording: it is transcribed and answered the same way.
Read out loud. Reminder calls speak the reminder in a clear voice, and your child's stories in Family can be read aloud.
Try these
Good to know
- If it could not make out a voice message, it says so. Try again closer to the phone, or type it.
- Voice messages are saved like your other files, so you can play them back.
- The Android app needs version 1.0.5 or newer for the microphone.
- Meetings record long conversations; voice messages are for one request.
Chapter 19 · 1:21
Run your team on UtilizeBot
Think of UtilizeBot as the manager of your AI team. Give each part of your business its own bot (marketing posts, a morning news brief, a dev team, customer orders) and keep talking to UtilizeBot only.
Hand-offs. Ask for the work in plain words. UtilizeBot picks the right bot and a card shows who is on it. When the bot is done, the card turns to done and the report comes back to your chat. The card's Open button (Open Caption Writer, for example) shows the bot's full work.
Approve on cards. New bots, emails, LinkedIn posts and risky steps wait for your tap on a card. Nothing important happens without you.
At a glance. Home lists every bot and what it is doing. Open one to change its job or schedule, or just ask UtilizeBot to pause or resume it.
Try these
Good to know
- You never have to pick the bot: UtilizeBot hands the work to the one that fits.
- Starter includes 3 bots and Pro 15. Paused bots still count.
- A bot's reports that wait unread get one nudge; you can pause the bot from it.
- Long jobs with several steps run as missions with a crew (chapter 8).
